This Privacy Policy explains how personal data may be processed when you visit icaif2026.org, use the ICAIF '26 website, or contact the conference organizers. This notice is intended to provide the information required by Article 13 of Regulation (EU) 2016/679 (GDPR).

This notice reflects the current ICAIF '26 website, including the external Google Form used for travel grant applications. It should be reviewed whenever forms, tracking tools, registration features, or third-party integrations change.
Data Controller
For the purposes of this website, the data controller is the ICAIF '26 Organizing Committee, represented for website and privacy enquiries by Andrea Maurino, General Chair, reachable at andrea.maurino@unimib.it.
Website and privacy enquiries are handled through this institutional address. Sponsorship enquiries remain directed to sponsor@icaif2026.org.
Personal Data We May Process
Depending on how you use the website, the following categories of personal data may be processed:
- • Browsing and technical data: IP address, date and time of the request, requested URL, browser and device information, referrer URL, and similar technical metadata generated when pages are loaded.
- • Contact data you provide voluntarily: your name, email address, message content, attachments, and any other information you include when you contact the organizers by email.
- • Travel grant application data: contact details, institution, country or region, career stage, expected travel location, and any additional information voluntarily entered in the application form.
- • External platform data: if you follow links to third-party services such as Microsoft CMT, Google Forms, or LinkedIn, those services may collect and process personal data under their own privacy notices.

Third-Party Services and External Links
The website’s fonts, Tailwind CSS, Heroicons, and image assets are served locally and do not require a connection to a third-party CDN. A connection to another provider occurs only when a visitor chooses to follow an external link.
- • Microsoft CMT when users follow submission or proposal links published on the site.
- • Google Forms when users open the ICAIF 2026 Travel Grant Application. The form was created within the University of Milano-Bicocca’s Google environment.
These third-party providers act under their own privacy notices and terms. The ICAIF '26 website does not control the privacy practices of external sites and services reached via outbound links.
Cookies, Analytics, and Similar Technologies
Based on the current implementation reviewed on August 10, 2026, this website does not intentionally use first-party analytics tools, advertising tags, or profiling cookies.
The site is static and does not embed registration forms, newsletter sign-ups, or user accounts. It links to an external Google Form for travel grant applications. Google and other linked services may independently process technical request data under their own policies.
Travel Grant Application Data
The ICAIF 2026 Travel Grant Application is hosted on Google Forms and was created within the University of Milano-Bicocca. Information submitted through the form is available to authorized organizers for evaluating applications and administering awarded support.
Applicants should submit only information relevant to the application and should not include passwords, financial account details, health data, or other unnecessary sensitive information. Google’s terms and privacy information also apply when the form is opened.
Recipients and International Transfers
Personal data may be made available, where necessary, to hosting and infrastructure providers, website maintenance providers, and third-party technical services involved in delivering the website. Data may also be disclosed where required by law or to protect legal rights.
Because this website uses third-party resources and external services that may operate globally, some technical data may be processed outside the European Economic Area. Where this occurs, the processing is governed by the privacy notice and transfer mechanisms adopted by the relevant provider.
Retention
Technical logs and browsing data are retained only for the period strictly necessary to ensure website operation, security, troubleshooting, and abuse prevention, unless a longer retention period is required by law or imposed by the relevant service provider.
Email correspondence is retained for the time necessary to handle the request, manage any follow-up, and meet organizational, legal, or defensive retention needs.
Travel grant application data should be retained only for the selection, award administration, and any applicable legal or accounting period. The definitive retention period should also be stated in the notice presented with the application form.

Under the GDPR, you may have the right to request access to your personal data, rectification, erasure, restriction of processing, objection to processing, and, where applicable, data portability.
